How long we keep information
Sabreo Education retains personal data only for as long as is necessary to fulfil the purposes for which it was collected, in accordance with UK GDPR and the Data Protection Act 2018. Once the applicable retention period has elapsed, personal data is securely deleted or anonymised without undue delay.
The following retention schedule applies to data held by Sabreo Education:
Student and Parent/Guardian Contact Details: Contact information, including names, email addresses, telephone numbers, and any associated correspondence, is retained for a period of up to 2 years following the date on which a student ceases to use Sabreo Education’s services. After this period, such data will be securely deleted unless there is a lawful basis for continued retention.
Session Recordings: Recordings of online tutoring sessions are retained for a period of up to 3 months from the date of the session for routine safeguarding and quality assurance purposes. Where a recording is relevant to an ongoing safeguarding concern, complaint, or dispute, it will be retained until that matter is fully resolved, after which it will be securely deleted.
Payment and Billing Records: Financial records, including payment history, invoices, and billing information, are retained for a period of 6 years following the end of the financial year in which the transaction occurred, in accordance with applicable tax and financial legislation. After this period, financial records will be securely deleted unless a specific legal obligation requires further retention.
Safeguarding Records: Given the sensitive nature of safeguarding information and our duty of care to the children we work with, safeguarding records are retained until the student to whom they relate reaches the age of 25. This reflects established best practice for organisations working with children and ensures that records remain available in the event of any historical claim or statutory enquiry. Where a safeguarding matter has been referred to an external agency, records will be retained in accordance with the guidance provided by that agency and any applicable statutory requirements.
Your Rights: Clients and students (where applicable) have the right to request access to personal data held by Sabreo Education, to request its correction, or to request its deletion, subject to any legal or safeguarding obligations that require its continued retention. Such requests should be submitted in writing to Sabreo Education’s designated data controller.
Sabreo Education reserves the right to decline a request for deletion where the data in question is, or may reasonably become, relevant to a safeguarding concern, ongoing or anticipated legal proceedings, or a formal complaint. In such circumstances, the Client will be informed that the request cannot be fulfilled and the reason for refusal will be provided, in accordance with UK GDPR. Where a deletion request is declined, data will continue to be held only for as long as the relevant matter requires, after which it will be securely deleted.
